         Customer F3

The F3 search button is used to reposition the cursor into the customer search box.

Each new transaction or enquiry positions the cursor initially in the first column of the product grid. To change the initial cursor location to the customer search textbox, simply tick the Focus Customer First on the POS tab of Setup Options.

To find a customer, enter the customer code, a partial customer code, or any part of his name. Press enter or F3 at this point. If the customer is found the details will be displayed, and if not found the customer search box will appear with all matching choices.

To see a full list of all customers simply press F3, without entering anything in the customer search textbox.

 
The customer search screen enables searching on a number of key fields including customer code, name, phone, contact, address, postcode or drawer. Either click the required search option or press F3 to toggle between options. Press enter for a display of all matching details.

To select a customer either arrow down to the customer and press enter or doubleclick on the required customer. If the customer cannot be found press escape or click cancel.

Changing the search screen layout.

Columns in the search screen can be moved or resized to suit standard searches. To change column width click on the column divider and drag the mouse left or right. To move a column to a new position click on the heading and slide the mouse left or right and then release. To save these settings to be the new defaults simply click the store layout button. To return to the initial default click the clear layout button.

Adding a customer from the search screen.

If the customer is not found and you wish to add the customer you may press the ADD F4 button. The following screen will appear enabling you to add name, address phone and contact details.

 
This is useful for COD or casual customers but it is recommended to use the customer control screen to add account customers with full details. The customer code will be automatically numbered based upon for the first four letters of the customer name followed by a two digit numeric code. Select OK to add the customer and return to POS.

Customer Credit and Notes

When the customer is retrieved further details are always displayed if Show Customer Notes is ticked in the Invoice tab of the Setup Options screen.

 
If credit terms are exceeded, the following warning screen will always appear –

This will occur if the customer credit limit is exceeded or if there is a 60/90 day balance, depending on the settings in the Invoice tab of Setup Options. Normally the sale can still proceed.

If No Credit is ticked on a specific customer and the Cant Invoice if Credit Warning is ticked in Setup Options, the invoice cannot be updated.

Customer Reference Details

The reference fields at the top centre of the POS screen are optional. The reference can be a packing slip or any further customer ID.

Price Code

The price code is retrieved from the customer control screen P/Lvl field and is used to determine the standard selling price. The product control screen allows for price levels A-F. If no price level is specified it defaults to the price level A. A specific discount can be entered against each price level. For example B10 would give the price of 10 percent off price B for all products. Mark-ups on cost can also be used. X is used for last and current cost and V is used for average cost. X10 would give a price of 10 percent markup on the higher of last or current cost. The price code can be changed here to apply to all products on the specific sale.

Del Date

The delivery date defaults to the current date. It can be changed to a future month’s date if the sale is not to be charged in the current month. After a new period is run, the invoice will become current, and appear on the statement. It is not recommended to predate the invoice unless GST reports are going to be reprinted for that period.

Order No

The order number is normally optional, unless ticked as required on all accounts in the POS tab of Setup Options.

Phone No

The phone number is retrieved from the customer control screen.
