A video on stocktake;
 
Reports To Run;
In peach Click Reports > Product;
Good to run before stocktake
-------------------------------------
Stocktake Report by Part - Good overall list of products
 
Good to run after after stocktake
------------------------------------------
Stocktake Variance by Part - Value difference from prior & after stocktake
 
 
What do the tick options at the bottom do?
If you tick;
In Stock - shows only product that have an in stock quantity
Active Only - products that have been sold in the last 2 years
Inactive Only - products that have NOT been sold in the last 2 years
Below Max - all stock below your min/max level.
Zero Stock - only show list of prods that have no in stock qty.
Neg. Stock - only show list of prods that have -1 or more in stock qty.

Off course if you had a Peach Stocktake PDA ?? What can I say..You will save hours and say goodby to yearly stocktakes as the PDA can do a complete paperless stocktake faster than a speeding Pen !

Full Stocktake
This is where you are going to count one or more of an entire warehouse or shop
1. Initialise the stock with the Zero tick. (ONLY DO THIS ONCE OTHERWISE YOU WILL WIPE ANY RECORD OF WHAT YOU HAD IN STOCK)
2. Go to Reports > Product > Stocktake Worksheet by Part
3. Select to sort by Part or Location and print the report. If active only is ticked then untick it otherwise some parts may not show up.
4. Now count the stock using the stocktake worsheets and then enter the results into Peach. You should not sell or purchase any parts until counting is complete.
5. Once counting is is complete you can start invoicing but hold off recieveing for now.
6. Because you zeroed the stock prior to starting, as you sell goods the qty will go into negative. So when you enter the count you can select the "add to count" tick and this will enter your Qty as per the count and allow for a negative entry. Example....Part Z9 I had 9 before stocktake and zeroed my stock. After counting all our stock we start selling again and by the time we come to enter the count for Z9 we have sold 2 so the current In stock qty is -2. Now type in the count "9" and hit enter then 7 will be entered.
5. Now Go to Reports > product Reports > "Stocktake variance report by part" and run the report. This should give you a before and after Qty and value of the stock you have finished counting.
6. If there are any variances you are not happy with re count and enter those parts. Your Done !

Partial Stocktake
This is where you may want to stocktake a section of your stock
1. In the stocktake screen filter by the parts you intend to count and initialise the stock.
2. Go to Reports > Product > Stocktake Worksheet by Part
3. Highlite the report and then filter by either Location, Group, Supplier or Subgroup. You can use a combination of these also if you wish. Select to sort by Part or Location and print the report. If active only is ticked then untick it otherwise some parts may not show up.
4. Now count the stock using the stocktake worsheets and then enter the results into Peach. You should not sell or purchase any parts included in the sheet until the data is entered back into peach through the stocktake screen. 
5. Go to Reports > product Reports > Stocktake variance report by part and apply the same filters as before and run the report. This should give you a before and after Qty and value of the stock you have finished counting.
6. If there are any variances you are not happy with re count and enter those parts. Your Done !

Here is a snip of the First tab in the stocktake screen. For stocktake this is the only tab you will require.
 
 
 
  • Active only tick will only display parts where they have active ticked in product control. This is for filtering purposes only.
  • The area drop down box will only appear if you have the consignment system turned on in which case you will be prompted to select which warehouse area you intend to Stocktake before proceeding. You can change areas during a stocktake if required.

  • This part of the screen is simply for filtering the view of the parts list to the right. The idea behind this is to be able to print a stocktake worksheet with the same filters and so the list of parts on the report will be exactly the same as the list of parts in the list here.
  • Of coarse if you would like to walk around with a laptop and scan the parts then tick the scan barcode box to enable this.
  • Sort by location sorts the list on the right by the location code in product control.

  • The initialise button can be clicked after you have typed initialise into the box below it (all lower case). The Initialise button COPIES the Starting Qty in stock. This Qty will be remembered until the initialise button is clicked again. the purpose of this is to make a record of what you had in stock before doing the stocktake so it can be compared to what you have after the stocktake. This is viewed from the stocktake variance report.
  • Zero Stock does the same as above but instead of copying the Current In Stock qty it moves it to the initial qty thus zeroing your current in stock qty. You can choose this option if you want to start from scratch with your stocktake. This woiuld normally be the case when you are doing a full stocktake. These features only effectthe parts that are selected in the filter and shown in the right hand list.  

  • Tick add to count if you would like your key input added to the current count otherwise your input will replace your current count.  
  • Enter a comment which can be found and reviewed in the Stocktake Activity Report from the reports menu.
  • You can see above the Initial Qty while entering the figures here.

 

  • In the above clip you will note that when you find a part the last stocktake date will be recorded against it and once you have made a new entry it will change to todays date.
